Setup Guide

A quick, step-by-step checklist to get your business calendar ready.

Step 1

Start with your calendar

  • CalAppt is currently set up for solo users.
  • Add customers, schedule appointments, and track payments without any extra setup.

Step 2

Pick a business template (optional)

  • Open Menu → Business templates.
  • Select a business type (Trainer, Handyman, Cleaner, Tutor, etc.).
  • Click Apply service types to preload suggested service types.

Step 3

Branding, currency, and receipts

  • Set your Business name, Logo, and Accent color in Business profile.
  • Choose Currency and customize wording in Currency & receipts.
  • Set your Time zone in Time settings.

Step 4

Add customers

  • Add customers in the Customers drawer, or open Customer List for full management.
  • Use Tags + Custom Fields for business-specific info (gate code, equipment, dog on site, shirt size, etc.).
  • Import from .vcf (vCard) or Google Contacts .csv.

Step 5

Book your first appointment

  • Tap a time slot to schedule.
  • Set Location (address or link), Mode (On-site vs Remote), and add Travel + Buffer if needed.
  • Set a Status (scheduled, confirmed, completed, no-show, canceled, refunded).
  • Add an Amount if you want it to appear in Payments/Receivables.

Step 6

Track payments and receivables

  • Payments tracks sessions and lets you mark paid/unpaid.
  • Receivables counts unpaid sessions whose dates have passed; future sessions show under Potential.
  • Use Monthly / Yearly statements for totals and exports.

Step 7

Backups (recommended)

  • CalAppt autosaves changes on this device (recent versions are kept).
  • Use Export Backup before switching devices or clearing data.
  • Use Merge Backup to combine data from two devices.
